FaceKiosk App – Data collection, usage and management

A modern, AI-powered face recognition solution designed for organizations of all sizes with minimal setup with a simple user interface that works efficiently across single or multiple locations.

The collection, processing, storage, sharing, and retention of face data is explained in the privacy policy under the following sections:

  • Face Data We Collect
  • How We Use Face Data
  • Disclosure and Sharing of Face Data
  • Face Data Retention and Deletion
  • Face Data Security and User Rights

1. Face Data We Collect

The app processes and collects:

  • Camera images captured during employee face enrolment.
  • A cropped facial image encoded in Base64 format.
  • Numerical facial templates, called face embeddings, generated from the captured image. These are 512-value numerical representations of facial features.
  • Temporary face-detection information, including face position, head angle, and eye-open probability, used for image quality and liveness checks.
  • The employee code and employee name associated with the enrolled face data.

The app does not collect or access the device’s Face ID system or Secure Enclave.

2. How We Use Face Data

Face data is used only for workforce attendance functions:

  • Enrolling an employee for face-based attendance.
  • Confirming that exactly one clear face is visible during enrolment or attendance.
  • Creating a numerical face embedding on the device.
  • Comparing a newly generated embedding with enrolled employee embeddings.
  • Identifying or verifying the employee.
  • Recording the employee’s attendance after a successful match.
  • Synchronizing enrolled face data with authorized attendance kiosk devices belonging to the same organization.
  • Allowing an authorized administrator to remove an employee’s face registration.

Face data is not used for advertising, marketing, user profiling, analytics, credit decisions, or tracking users across apps or websites.

3. Disclosure and Sharing of Face Data

Face data is not sold, rented, used for advertising, or shared with unrelated third parties.

Face detection and facial-template generation are performed on the device using locally executed facial detection and machine-learning components.

The enrolled facial image and numerical face embeddings are transmitted over the network to the employer’s configured attendance server. They are stored:

  • In the app’s private local database on the authorized kiosk device; and
  • On the organization’s configured backend server.

Face data may be processed by contracted infrastructure providers only when necessary to host and operate the attendance service. Such providers act as service providers and are not permitted to use face data for their own purposes.

4. How long is face data retained

Face data is retained only while the employee remains enrolled in the organization’s face-attendance system or until the organization requests its deletion, whichever occurs first.

When an authorized administrator deletes an employee’s face registration:

  • The face image and face embeddings are removed from the active server records within 1 day.
  • The data is removed from the kiosk’s local database immediately or during its next successful synchronization.
  • Any residual backup copies are permanently removed within 30 days.

Face images captured only for unsuccessful recognition or quality checks are processed temporarily and are not intentionally retained.
